Strategic Assessment & Business Case

Weeks 1–4

The migration begins with a thorough assessment of your current GP environment and a clear business case for F&O. Document every GP module in use, all customizations (Dexterity, VBA, eConnect integrations), third-party ISV products, report libraries, and integration points. For enterprise organizations, this audit typically uncovers 50–200 custom modifications that need to be evaluated for F&O equivalents.

Map your current-state processes against F&O's native capabilities. Many GP customizations exist because GP lacked native functionality that F&O provides out of the box — advanced warehouse management, transportation management, and process manufacturing are common examples. Build the financial case by quantifying the cost of maintaining GP against the total cost of F&O ownership. Weeks 5–10

With the business case approved, the solution design phase defines exactly how F&O will be configured. Configuration & Customization

Weeks 10–24

F&O configuration is more extensive than BC due to the platform's depth of functionality. Finance alone involves configuring the chart of accounts structure, posting profiles, financial dimensions, budget models, fixed asset books, and tax configurations. Supply Chain Management adds procurement categories, inventory models, warehouse structures, and transportation parameters.

F&O uses an extension-based development model. All customizations should be built as extensions rather than modifying base code — this ensures compatibility with Microsoft's continuous update cycle (F&O receives updates every month). F&O also integrates natively with Power BI (embedded analytics), Power Automate (workflow automation), and Power Apps (custom applications), often replacing GP customizations with low-code solutions.

User Training & Change Management

Weeks 18–28

Enterprise F&O deployments require a more structured training approach than BC migrations. Develop role-based training curricula for finance users, procurement specialists, warehouse operators, manufacturing planners, and system administrators — each needs targeted training on their specific workflows.

Identify 2–3 super users per department who receive advanced training and serve as first-line support during and after go-live. For an enterprise with 200+ users, plan for 15–20 super users. The shift from GP's desktop-based interface to F&O's web-based workspace model represents a significant change — invest in communication campaigns, executive sponsorship, and early access programs to build user confidence.

Testing & Validation

Weeks 24–32

Conduct two Conference Room Pilot (CRP) sessions where key users walk through end-to-end business processes. CRP1 validates the solution design; CRP2 validates refinements and confirms readiness. Plan for 200–500 test cases across all modules in structured User Acceptance Testing (UAT) with documented test scripts.

Validate system performance under expected transaction volumes — F&O's cloud architecture scales automatically, but custom reports and integrations may need optimization. Test every integration point end-to-end, including error handling and retry logic.

Weeks 30–36+

Develop a detailed cutover checklist with task owners, durations, and dependencies. A typical enterprise cutover runs over a weekend (Friday evening through Sunday) with a go/no-go decision point Saturday morning. Execute the final data migration with the most current GP data, validate balances, and reconcile against GP reports.
